Software Usage Instructions

Select PDF files: Click the “Select PDF files” area to choose one or more PDF files at a time. For batch files, only the first 20 are displayed; the remaining files will not be expanded in the list but will be processed together.
Load sample data: If you want to test the results first, you can choose a sample graphic report, scanned document, or text document. The tool will generate a sample PDF so you can try the compression settings.
Set compression mode:
- Balanced compression: Balances clarity and file size, suitable for everyday documents.
- Strong compression: Focuses on reducing file size, suitable for sending attachments or archiving.
- Clarity first: Preserves more page detail, suitable for reading and printing.
Configure compression settings: You can set parameters such as compression engine, image format, color processing, image quality, rendering clarity, and ZIP file name, and choose whether to remove metadata and generate a compression report.
Save settings: Click the “Save settings” button to save frequently used parameters, which will be loaded automatically the next time you open the tool.
Start processing: After confirming the parameters, click “Start compressing PDF”. The tool will process all PDF files one by one and display progress, logs, and compression results.
Download results: After processing is complete, you can download an individual PDF or click “Download all results as ZIP” to get all successfully processed files at once.

A: Balanced compression is suitable for most PDFs with text and images; Strong compression focuses more on reducing size and may reduce image details; Clarity first places more emphasis on page appearance, with a generally milder compression ratio.

A: Structural optimization rewrites PDF objects and cleans metadata while preserving text selectability as much as possible; Page reconstruction renders pages as images and then regenerates the PDF, usually achieving a more noticeable compression effect, but the text can no longer be edited.

A: Text-only PDFs, already optimized PDFs, or files that are already small have limited room for compression. You can try strong compression, lowering image quality, converting to grayscale, or processing with page reconstruction.

A: No. PDF reading, compression, result generation, and ZIP packaging are all completed locally, and file contents will not be uploaded to the server.

A: Processed PDFs use the original filename by default. If multiple files have the same name, the tool automatically adds a number after the filename, such as “Document(2).pdf”, to prevent results from overwriting each other.

A: The lower the image quality, the smaller the file usually is, but image details will be reduced; the higher the rendering clarity, the clearer the pages, but the file size will also increase. For everyday documents, you can use balanced compression; for scanned files, you can appropriately lower the quality and clarity.

A: Common causes include a damaged PDF, encryption restrictions, abnormal page content, or insufficient device memory. You can try lowering the rendering clarity, processing files in batches, or using a PDF repair tool to process the original file first.
