Software Instructions

Set compression parameters: First choose a Light, Balanced, Strong, or Deep preset on the parameters page, or manually adjust the image long-side limit, JPEG quality, PNG color quantization, small-image skip threshold, and document packaging level.
Configure advanced options:
- Replace only if smaller: Keep the original image if the file size is not reduced after compression, avoiding unnecessary replacement.
- Convert non-transparent PNG to JPEG: Suitable for screenshots and photo-type PNGs to further reduce size; PNGs with transparency will keep their original format.
- Keep original document if it becomes larger: Automatically keep the original document if the repackaged document size is not reduced.
- Generate single-file download buttons: After batch processing, you can download an individual result file separately.
Save settings: Click “Save Settings” to save the current parameters, which will be applied automatically the next time you open the tool.
Select document files: Upload the Word or Excel documents you need to compress. docx, docm, xlsx, and xlsm formats are supported, and you can select multiple files at once.
Use sample data: If you want to try the process first, click “Generate Sample Document”; the tool will create a sample Word document containing images for testing.
Start compression: After entering the “Process Download” page, click “Start Compression”; the tool will read the images in the documents one by one and process them according to the current parameters.
View results and download: After processing is complete, you can view statistics such as the number of images found, the number of images optimized, and the size saved; you can download files individually or click “Download All Results ZIP” to save them as a package.

FAQ

A: Newer Office document formats are supported, including .docx, .docm, .xlsx, and .xlsm. Older .doc and .xls files do not use the same archive structure, so we recommend saving them as a newer format before processing.

A: No. The tool only processes JPG and PNG image resources inside the document package. Text, tables, formulas, comments, worksheet structure, and original formatting will be preserved.

A: Light is suitable for documents that require high clarity, such as printing and archiving; Balanced is suitable for everyday office sharing; Strong is suitable for documents with many images that need a significant size reduction; Deep is suitable for files where size is the top priority. It is recommended to start with the Balanced preset and then adjust based on the results.

A: Common reasons include: the image is below the small-image skip threshold, the image has already been compressed, the size did not decrease after compression, a PNG with a transparent channel is not suitable for conversion to JPEG, or the image format is not JPG/PNG.

A: PNG color quantization is suitable for images with relatively simple colors, such as charts, screenshots, icons, and flowcharts. Photo-type images may show banding after quantization, so the Light or Balanced preset is recommended.

A: Some images are already quite small, or the compression gains may not be obvious after the document is repackaged. When “Keep original file if document becomes larger” is enabled, the tool will keep the original document if the overall size does not decrease, preventing the output file from becoming larger.

A: Result files keep the original filenames by default. If duplicate names appear in the batch results, the tool appends numbers to the filenames to distinguish them, making it easy to place them in the same ZIP package for download.
